Presentation Guidelines – Science Leagues Conferences

All participants presenting at the Science Leagues Conference are required to follow the official presentation formats outlined below. These guidelines are designed to ensure a consistent, high-quality, and professional experience for presenters and attendees alike.

Oral Presentation

  • Duration: Each oral presentation is allotted a maximum of 10 minutes, followed by a 2-minute question-and-answer session.
  • Presenter: The presentation must be delivered by an author or co-author of the submitted work.
  • Equipment: Presenters may use their own laptop or utilize equipment provided at the venue.
  • Recommended setup: Microsoft PowerPoint on Windows OS for best compatibility.
  • File Format: Preferred formats are .ppt, .pptx, or .pdf.
  • Support: Technical support and volunteers will be available on-site to assist with setup and transitions.

Poster Presentation

  • Poster Size: Posters should be 36 inches wide by 48 inches high.
  • Preparation: Presenters are responsible for printing and bringing their posters to the event.
  • Setup Timing: Posters must be installed before the official opening ceremony.
  • Display: All posters will be displayed in a dedicated poster area throughout the session.
  • Presenter Availability: At least one author must be available during the designated poster session to interact with attendees and answer questions.
  • Takedown: Posters should be removed promptly after the session concludes.

Virtual Presentation

  • Duration: A virtual presentation should last 10 minutes, followed by a 2-minute question-and-answer session.
  • Platform: All virtual presentations will be conducted via Zoom.
  • Technical Check: Presenters are required to test their microphone, camera, and slides in advance using the Zoom Test Meeting link.
  • Login Time: All virtual presenters must log in at least 30 minutes before their scheduled session to allow time for setup and troubleshooting.
  • Slide Submission: Presenters are encouraged to share their presentation files in advance to prevent issues during the session.

Video Presentation

  • Duration: The video should not exceed 10 minutes.
  • Format: Submit the video in MP4 or MOV format, ensuring clear audio and high-resolution visuals.
  • Submission Deadline: Videos must be submitted at least 5 days prior to the conference date

  • Live Q&A: Presenters must be available during the scheduled playback of the video for a 2-minute live Q&A session.

    If unavailable, a co-author or delegate may represent the work.

  • Backup: Presentation slides should be submitted along with the video as a secondary reference.

📌 General Presentation Tips

  • Ensure your slides are clear, visually engaging, and not text-heavy.
  • Follow a logical structure: Introduction → Methods → Results → Conclusion.
  • Use graphs, charts, and visuals to support your key points.
  • Stick to the allocated time limit to respect the session schedule.
  • Rehearse in advance to ensure smooth delivery and technical readiness.
